Challenge
An established nonprofit organization relied heavily on its annual live conference as a primary revenue source and community engagement event. When the COVID-19 shutdown disrupted in-person events in 2020, the organization faced the possibility of cancelling its flagship conference entirely.
The challenge extended far beyond simply streaming presentations online. The event depended on attendee interaction, presenter participation, sponsor visibility, networking, session coordination, and operational logistics typically handled onsite during the live conference experience.
Insight
Moving the conference online required more than video hosting. Nearly 100 presenters needed support for scheduling, preparation, recording, technical testing, presentation management, and audience interaction in a fully remote environment.
Preserving attendee engagement and recreating the pacing, structure, and energy of the live conference required a coordinated operational system alongside a purpose-built virtual event platform capable of supporting both production workflows and participant interaction at scale.
Solution
A complete virtual conference operating model was designed and implemented to support presenter onboarding, dry runs, recording sessions, editing workflows, scheduling logistics, and live event coordination. Equipment was shipped to presenters when needed to close technical gaps, standardize audio/video quality, and improve the overall production experience.
A custom virtual event platform was also built from scratch to manage agenda-based session streaming, downloadable materials, video playback, live chat functionality, and attendee interaction. Presenters participated directly in scheduled session chats to recreate real-time engagement with attendees during broadcasts.
The broader conference experience also included organization-wide chat channels, virtual networking breakout sessions, online mixers, product giveaways, and a live-streamed main agenda experience. The event was ultimately structured as a continuous broadcast-style conference designed to preserve the pacing, interaction, and energy of the organization’s traditional in-person event.
Results
The organization successfully transitioned its flagship conference into a fully virtual experience during the 2020 shutdown without losing attendee engagement or presenter participation. The event also introduced new digital engagement and revenue opportunities while helping preserve both community participation and a critical annual revenue stream during a period of major operational disruption.
The virtual platform and supporting workflows proved valuable enough that portions of the digital experience continued supplementing the organization’s live conferences after in-person events returned in 2021.
